How does the bulk import of events work?

Now in Pirani you can easily import events in bulk and associate them with the related entities.

Event Bulk Import is available for the following management systems: ORM, ISMS and Compliance. You will also be able to upload hundreds of records via csv format (UTF-8).

→ Remember that this functionality will be available in the Starter plan.

How to Perform Bulk Event Updates?

To import events in bulk, go to the top bar and click on the gear icon. Then, navigate to the left section and click on “ORM”. Finally, on the right side, you will find the “Import” option.

The Bulk Update Functionality is Also Available Within the "Events" Module

From the "Events" module, select the three-dot button (…) and choose the “Import” option.

How to Start the Import from an Entity?

Select the “One Entity” option. Once selected, click on “Next” to continue with the process.

How to Manage Processes from an Entity?

Go to the “One Entity” section.
Select the “Events” module.
Click on the dropdown menu “What would you like to do with this entity?”
Choose the option that best suits your needs:

  • Create records from file
  • Update records from file

How to Update Events from a File?

In this case, select the “Update records from file” option. Then, follow these steps:

  1. Ensure that your Excel file is correctly structured and saved in .csv format, following best practices for bulk upload files.

  2. Remember, it's not necessary to include all the fields of the entity. You only need to upload the fields you wish to update.

  3. However, there is one mandatory field that must always be present for the update to work correctly:

    • referenceCode: Unique identifier of the process (this field allows the system to locate the record to be updated).

Once your .csv file is ready, upload it to the platform.

Click "Next" to Continue the Update Process

In this step, you will need to map the fields from your .csv file with the corresponding fields in the Pirani form.

Learn how to map the fields correctly for the update:
The system performs an automatic mapping based on the column name matches in your file. If you wish to modify this, you can expand the available options in the “Form Field” column.
If you have columns that you do not want to update in the system, simply do not select the corresponding option using the checkbox next to the field name. Some checkboxes cannot be unchecked, as they are mandatory.

Once you've finished mapping the fields, click on “Upload” to begin the bulk event update.

Select "Upload" and Verify That the File Has Been Uploaded Correctly

Once done, the data to be updated will begin reflecting in the events.
If you wish to check the status of your upload, you can expand the details in the Import History section, where the most recent record will appear first.

Note:

  • This process may take some time, so its status will be shown as "In Progress." To check if the process has completed, click the “Refresh” button.
  • If the upload status shows "Failed," you can expand the details to see how many records failed to update and download a .csv file containing the errors. For more information on this file, go to the Bulk Upload section in the Help Center.

How to Start the Import from Multiple Related Entities?

Select the “Multiple Related Entities” option. Once selected, click on “Next” to continue with the process.


How to Manage Events from Multiple Related Entities?

Go to the “Multiple Related Entities” section.
Select the “Risks” entity, which we have defined as the parent in this case.
Click on the parent dropdown menu “What would you like to do with this entity?”
Choose the option that best suits your needs:

  • Create records from file
  • Update records from file
  • Use records in the system

Additionally, select the “Events” entity.
Click on the parent dropdown menu “What would you like to do with this entity?”
Choose the option that best suits your needs:

  • Create records from file
  • Update records from file

Once Your File Is Properly Structured Following Bulk Upload Best Practices, Upload the Excel File in CSV Format

Keep in mind that for a bulk update, it's not necessary to include all the fields of the entity — you only need to upload the fields you want to update. However, the following fields are mandatory:

Mandatory fields in the Excel file:

  • referenceCode: Unique identifier of the event.
  • parentReferenceCode: Code that links to the main event. Since this is an update, this field becomes optional — it is only required when you want to change the record to a different module.

If your file contains no errors, it will be uploaded successfully, allowing you to proceed to the next step. Otherwise, review the upload requirements in the Help Center.

Once your event update file is correct and you wish to continue without associating additional entities, click “Next” to map the file fields.

In this step, you will need to map the fields from your .csv file to the corresponding fields in the Pirani form.

The system automatically maps fields based on matching column names in your file. If you want to modify this, you can expand the available options in the “Form Field” column.

If there are columns you do not want to update in the system, simply deselect the checkbox next to the field name. Some checkboxes cannot be unchecked because they are mandatory.

When you finish mapping the fields, click “Upload” to start the bulk update of Events.

Done! The data to be updated will now be reflected across the different processes of your event. If you want to check the status of your upload, you can expand the details in the import history; the most recent upload will appear first.

Note:

  • This process may take some time, so the status will show as “In Progress.” To refresh and check if the process has finished, click the “Refresh” button.

How do we view the information?

To verify if the information has been updated correctly, follow these steps:

  1. Go to the Events module.
  2. Select the event you want to view.
  3. In the left menu, access the Risks section.
  4. Select the associated event you want to review — you can locate it by its code.
  5. Confirm that the Associated Risk has been updated correctly.
