The customizable workflow feature allows you to design personalized processes within the management system, tailored to your organization’s specific needs.
It’s a key tool to ensure traceability, control, and governance in event handling—especially in contexts such as Operational Risk Management.
With this tool, you can:
- Assign dynamic statuses.
- Delegate specific responsibilities per status.
- Define actions based on the user or authorized user groups.
How to create a customizable workflow?
Go to the sidebar where you'll find nine dots forming a square. Click on the "Management System" you want to work with.
Then, at the top of your screen, click on the gear icon ⚙️.
You’ll now enter the dashboard of the selected Management System. In this example, we’ll use "Operational Risk Management" (ORM).
You’ll see two buttons: "Transversal" and "ORM". Click on "ORM" and then select the "Customizable Workflows" module.
Now go to "Event Workflow".
You’ll see two predefined statuses: "In Progress" and "Completed".
To start adding new statuses to your workflow, click the "+" icon. A menu will open where you can:
- Select the type of status.
- Enter the name of the status.
- Optionally, add a short description.
- Assign a responsible party.
Pirani tool gives you three options to define responsibility: "By user", "By group", or "By field".
To differentiate workflows, you can assign a unique color to each one. Use the eyedropper icon in the top-right corner.
To continue building your workflow, simply keep clicking the "+" icon.
Always assign a responsible party and add a description if needed.
Pirani allows you to create as many workflows as your organization requires.
If you need to make adjustments and allow a status to return to a previous step, click the "+" icon and select "Transition".
Then, under the "Go to" field, choose the status you want to return to and continue building the workflow from there.
A crucial step in building your workflow is assigning permissions to each user.
Go to the initial transition of each status.
Hover over the transition where you want to assign permissions. A blue lightning icon ⚡️ will appear—click it to open the permissions window.
To assign permissions to a specific user, click "By user".
Once a user is selected, you can assign permissions to view, create, edit, or delete event-related information.
Click "Assign Permissions" and add the necessary permissions.
Permissions Overview:
- General Information: If the user has edit permissions, they can update the form’s general information. If not, fields will be locked.
- Associations: Users with edit access can modify form associations.
- Losses and Recoveries: Depending on assigned permissions, users can create, edit, or delete loss and recovery records.
Once your workflow is complete, go to the top-right corner and click "Save Draft" to store your progress without applying it yet, or click "Publish" to activate the workflow in the Events module.
Then, go to the "Events" module to view the updates to your customizable workflow.
